The Learning Center - Manager Training

Report Basics

The Learning Center provides real time access to training data through parameter driven reports. Running reports in The Learning Center is best learned through demonstration of the basics:

  • Accessing
  • Run/View VS. Save
  • Parameters
  • Using the Output
This page is intended to be a reference resource for those that have already been trained through one of the four following methods:
  • Viewing the Manager Breeze Presentation.
  • Scheduling time with The Learning Center personnel.
  • Asking a peer.


Accessing Reports

To find Reports in The Learning Center, click the MANAGER tab. Under the MANAGER tab, there is a subsection called Reports.

In this Reports subsection, is a list of available reports. Manager reports provide specific information on employees reporting directly to you. Provided with each report is a brief description of how the report can be used and/or the type of data the report yields.


Running Reports

RUN View
The RUN view allows you generate the report and see the results right on the screen without the need to save the document in another format. This view is helpful if you only want a quick view of the data, and do not need to perform further analysis of the data or send to someone else.

SAVE View
The SAVE view allows you generate the report and save the results in an Excel spreadsheet. This view is helpful if you need to perform in-depth analysis of the data, reference it at a later time, or send it to others.

To save the report in Excel format:

  • Click Save (disc) on the report screen.
  • In the Template drop down box, select Excel 2003 Template.
  • Save the file with the desired name and change the file name extension to .xls.
  • After saving the file, open the file to view the report data in Excel format.


Manager Hierarchy

The Manager Hierarchy is a list of a manager’s direct reports. If a manager has a direct report who also has direct reports (or the manager's indirect reports) the name of that direct report is underlined. To view these indirect reports, a manager can click on this underlined link. Some reports allow managers to execute a report for all his/her direct AND indirect reports while other reports allow a manager to run the report for only his/her direct reports.


Parameters

Parameters allow you to generate customized, real-time reports by choosing only the specific data that you would like to see in the report. You use parameters to limit the data returned in the report. This sounds straight forward, however proper usage of parameters is the most challenging aspect of running reports. For this reason:

  • Viewing Manager Breeze Presentation to provide basic instruction.
  • Typical parameters are listed in each XLS report sample.
  • General

    • Most reports require parameters. For example, a parameter value could be a date, a course name or course code, an organization (location) or a wild card.
    • Parameters are case-sensitive.
    • Parameter fields need to be perfect; case, spelling, and spaces. Careful use of Wild Cards will aid greatly in your success.

    Wild Card = %
    A wild card is a character that is used and interpreted as ‘all’ or can be used to surround partial values. For example:

    • ALL Courses = %
    • ONLY Courses with Fire in the name = %Fire%
    • Course PROE150 in the name = %PROE150% Note: This will pull back data for FS-PROE150 and PROE150.

     


    Report Output

    After saving the report as an Excel spreadsheet, open the file to view the report data. Here are some tips that will help you organize and view your report's output.

    Filters
    Filtering is a quick and easy way to find and work with a small group of data found in a larger group. A filtered group of data displays only the rows that meet the criteria you specify for a column. Filtering temporarily hides rows you do not want displayed.

    • Set up a filter on the column headings (first row in the worksheet).
    • To see specific pieces of data, click any of the drop down arrows on the column heading. For example:
      • To view all of "Human Resources", click the "Department" drop down arrow and select "Human Resources."
      • To view any location, select a work location from the "Work Location" drop down box.
      • You may also combine choices.
